Rubbish Removal Paperwork: What to Ask For

 

You’ve booked a rubbish removal service, the crew has driven off, and the junk is out of sight. Job done, right?

Not quite! Irish law says you’re still legally responsible for what happens to your rubbish, even after it leaves your driveway.

If the collector you hired isn’t licensed and dumps it illegally, the penalties for you can be up to  €130,000 and even prison time.

The good news? Protecting yourself is simple: always ask for the paperwork.

Before the crew drives off with your clutter, make sure these essential documents are in your hands:

1. See their waste collection permit 

Any company or individual collecting waste in Ireland must hold a valid waste collection permit issued by the National Waste Collection Permit Office (NWCPO). It should be written on their vans/trucks and any document they provide.

💡 If they say, “Ah, you don’t need to see that,” that’s your polite cue to walk away. 🏃‍♀️\

2. Rubbish removal receipt or invoice 💳

A proper receipt is a proof of service and offers some protection against illegal dumping. Make sure it includes:

  • Company’s name, address & contact details
  • Your name & address
  • Date of removal
  • Description of waste (e.g., mixed household, old furniture, garden cuttings)
  • Quantity or volume removed (if known)
  • Agreed price (with VAT if applicable)

Keep this safe. If your waste ends up somewhere it shouldn’t, this receipt proves it was handed to a licensed collector 🙌.

3. Certificate of disposal or recycling ♻️

Once your waste is processed, you can also ask for a certificate of disposal or proof of recycling (it looks like this). This confirms your rubbish reached an authorized facility and not flytipped in a ditch somewhere. 

This one isn’t a strict requirement but a nice-to-have and some services email this a few days later so keep it in your inbox or print it. 

4. Hazardous or restricted waste note (If Applicable)

Paint tins, batteries, chemicals, old electronics and more are all hazardous waste. Firstly, this requires a specific permit to carry hazardous waste which is different from an ordinary waste carrier licence. So ask the provider to see evidence of it. 

Secondly, make sure the service provides documentation on proper handling.

If they say, “Ah, we’ll take everything together,” stop them. Thats  illegal and dangerous.

  • Search the EPA’s License Database: Use the EPA License Search to verify if a waste handler is licensed to manage hazardous waste.
  • Check Civic Amenity Sites: Local civic amenity sites often accept household hazardous waste with clear guidelines on what can be dropped off and any associated fees.

For office rubbish removal, shop renovations, or commercial clean-ups, paperwork gets serious. 

Businesses in Ireland face stricter EPA and local authority rules, so your checklist of paperwork grows:

1. Valid Waste Collection Permit 🛡️

Businesses must verify that the collector holds a valid permit. Ask for the number in writing as many compliant services include it on invoices and WTNs.

2. Waste Transfer Note (mandatory for commercial waste) 

For business waste, a WTN is required by law. Keep it for at least two years as inspections can pop up with little warning.

3. Detailed Invoice 

Your business invoice should include:

  • Business name, address, VAT number
  • Collector’s full info
  • Type & quantity of waste removed
  • Collection & disposal charges listed separately
  • Destination facility (authorization number if possible)

4. Recycling and Recovery Evidence 

Businesses are expected to prioritize recycling. Your contractor should provide proof like certificates, reports, or facility reference numbers.
